These Terms and Conditions govern the purchase of tickets or event accommodation, and attendance of these events, with Katoomba Christian Convention (referred to as “KCC”).  Please read these Terms and Conditions carefully before purchasing a ticket or booking event accommodation with KCC.  By purchasing tickets or event accommodation for KCC events, you agree to be bound by these Terms and Conditions in full.

For the purposes of these terms and conditions, “Attendees” refers to both in-person attendees and online viewers of an event.

1. Ticket/Accommodation Purchase and Acceptance of Terms

1.1 By purchasing a ticket to any event organised by KCC, or booking accommodation associated with an event organised by KCC, you agree to be bound by these Terms and Conditions, together with any additional rules, policies or instructions issues by KCC or the venue.

1.2 It is the purchaser’s responsibility to check all ticket or accommodation details (event date/s, time, venue, ticket type, accommodation site) at the time of purchase, as KCC is not obliged to accept liability for errors made by the purchaser during checkout.

1.3 All ticket prices are listed in AUD, and are inclusive of applicable taxes and booking fees, as indicated at checkout.

1.4 Full payment must be received at the time of booking, unless otherwise stated or arranged with the KCC office.  KCC reserves the right to cancel any booking for which payment is not successfully processed.

1.5 KCC reserves the right to change ticket prices at any time prior to purchase; however, prices will not change once a ticket has been successfully purchased.

1.6 Any discounts, promotional codes or group rates are subject to their own specific terms and cannot be combined unless expressly stated.

2. General Entry Conditions and Right of Admission

2.1 Admission to KCC events is at the discretion of KCC and venue staff.  A valid ticket does not guarantee entry if these Terms and Conditions, or venue rules, are not complied with.

2.2 KCC reserves the right to refuse admission, or to remove any person from the venue, where reasonably necessary for the safety, security, or enjoyment of other attendees, including where a person:

• Is behaving in a manner that is disorderly, intoxicated, or threatening;
• Fails to comply with these Terms and Conditions or reasonable staff instructions; or
• Poses a health, safety, or security risk.

2.3 All Attendees of any KCC event must be in possession of a paid ticket to the event they are attending. Any host or group ticketholders of the event agree to ensure that each member of their group in attendance, whether in-person or online, is also in possession of their own paid ticket to the event.

2.4 All Attendees agree that their ticket will not be shared for usage with any other person. Ticket transfers may be possible if requested with the KCC office prior to the event.

2.5 All Attendees agree that they will not record, reproduce or redistribute the event or any portion of it, in any format, for personal or commercial use.

2.6 All Attendees (or parents and legal guardians of Attendees under the age of 18) understand that there will be partner organisations exhibiting at the event, and that they may receive marketing materials from these organisations when visiting their display stalls whilst at the event.

3. General Cancellation Policy – Tickets

We thank you in advance for your flexibility and understanding about the necessity of these cancellation policies. As a not-for-profit ministry with limited financial reserves, KCC needs to be able to fully cover all the upfront expenses we incur when planning our conventions. These policies allow us to do that and so provide for the longevity of the KCC ministry.

By purchasing a ticket to any KCC event, Attendees understand and agree to these cancellation policies.

3.1 All KCC livestream and online events are non-refundable due to their digital format. Please note that we cannot be responsible for any difficulties accessing the event due to your connection or other device issues.

3.2 All cancellations for KCC in-person event tickets are non-refundable after the event cancellation cut-off date. Any cancellation requests received prior to or on the cancellation cut-off date will be granted a choice of a 50% refund issued, or (where available) a transfer to a livestream ticket for the same event. Please refer to the specific cancellation policy for each event for cancellation cut-off dates.

3.3 Ticket transfers to other people for in-person events can be arranged if you request this to the KCC office via email prior to the commencement of the event.

4. General Cancellation Policy – KCC Event Accommodation

By booking accommodation at StayKCC for a KCC event, Attendees understand and agree to these cancellation policies.

4.1 All cancellations for KCC event accommodation bookings are non-refundable after the event cancellation cut-off date.

4.2 Any cancellations requests received prior to or on the cancellation cut-off date will be provided a refund according to the below general schedule.  Some events may have different schedules; please refer to the specific notice dates for each specific event as this will take precedence over the below.

Accommodation Cancellation Notice Received:

• More than 16 weeks from event commencement: 90% refund
• Between 12 – 16 weeks from event commencement: 70% refund
• Between 6 – 12 weeks from event commencement: 50% refund
• Less than 6 weeks from event commencement (cancellation cut-off date): None

5. Ticket and Accommodation Transfers

5.1 Tickets and accommodation booked for KCC events may be transferred to other people, if notification is received in writing via email prior to the commencement of the event.

5.2 Where there are multiple instances of the same event (e.g. KYCK) on different dates, tickets and accommodation bookings may be transferred to a different date, pending availability of spaces. Any date transfer requests must be received by the KCC office in writing via email prior to the cancellation cut-off date for the event.

5.3 If you attend the event and present a ticket to the wrong event (e.g. a ticket to the same event but for a different date or an online ticket instead of in-person), unfortunately we are unable to grant you attendance and a new ticket will need to be purchased.

6. Event Information and Notifications

The contact information that you provide KCC on your ticket or accommodation booking will be used to communicate any important event information, changes or updates.  These communications may at times have time-sensitive information or action required on your part.  

It is your responsibility to keep your details up-to-date with KCC so that any important communication regarding the event can be reasonably made with you.  KCC cannot bear responsibility for missed communications and any subsequent consequences, due to incorrect contact details.

The KCC office may also be in contact with you to confirm important details for your ticket or accommodation bookings, such as group member details or dietary requirements. It is your responsibility to provide these details by the requested dates so that the event or accommodation site may be suitably prepared for.  We cannot guarantee we will be able to cater for requirements that we have not had notification about, or where notification has come later than the requested date.

7. Code of Conduct

By attending any KCC event or staying in KCC onsite accommodation for events, you agree to behave in a manner that is respectful and considerate of other attendees, speakers, exhibitors, staff and venue personnel.  Any behaviour that KCC, acting reasonably, considers inappropriate or disruptive to other attendees will not be tolerated, including:

• Harassment or intimidation of any kind;
• Violent, threatening or abusive behaviour;
• Disruption of sessions or other attendees’ enjoyment of the event, venue or accommodation facilities.

KCC reserves the right to remove any attendee from the venue or its accommodation sites without refund, and to refuse re-entry, for breach of this Code of Conduct.

8. Health and Safety

8.1 All attendees must comply with all venue safety instructions, including those issued by staff, security or emergency personnel, and most follow all posted signage and evacuation procedures.

8.2 Any attendee with a pre-existing medical condition who may require assistance during an event should notify KCC or venue staff in advance where possible.

8.3 KCC is not liable for any injury, illness, loss or damage sustained during the event, except where caused by the negligence of KCC or its staff.

8.4 In the event of an emergency, attendees must follow the directions of venue staff and emergency services at all times.

9. Alcohol and Substance Policy

9.1 Attendees must not bring, or consume, alcohol at any KCC event or at KCC accommodation sites.

9.2 The use, possession, or distribution of illegal drugs or substances at any KCC event, or at KCC accommodation sites, is strictly prohibited.

9.3 KCC reserves the right to refuse service, refuse entry, or remove any attendee who appears intoxicated or under the influence of illegal substances, or whose behaviour as a result poses a risk to themselves or others.

10. Filming and Recording

Filming, photography, audio recording and live-streaming at any KCC event is strictly limited to staff and personnel who have received prior written authorisation from KCC (“Authorised Recording”).  By attending any KCC event (whether in-person or online), you agree that:

10.1 No unauthorised recording

You must not film, photograph, record, live-stream, or otherwise capture any part of the event (including sessions, speakers, worship, attendees, exhibits, or otherwise) unless you have obtained express prior written approval from KCC.

10.2 Personal devices

The incidental use of personal mobile devices for private, non-commercial purposes (e.g. a personal photo with a friend or your group) is permitted, but must not disrupt other attendees, speakers or other individuals present at the event.  This does not extend to recording of any session content unless expressly permitted.

10.3 Concealed or inconspicuous recording devices

The use of devices capable of recording video, audio, or images in a manner that is not readily apparent to those around the wearer (including but not limited to smart glasses, body-worn cameras, or similar wearable recording technology) is strictly prohibited at any KCC event, regardless of whether the device is actively recording.

Attendees wearing or carrying such devices may be asked to remove, disable or store them for the duration of the event and their stay at any KCC site.

10.4 Enforcement

KCC reserves the right to:

• Request that any unauthorised recording or prohibited device use cease immediately;
• Demand the deletion of unauthorised footage or images;
• Confiscate, or require the removal or storage of, recording equipment (including wearable devices) for the duration of the event where reasonably necessary; and
• Refuse entry to, or remove from the venue without refund, any individual who fails to comply with this clause.

10.5 Official recordings

KCC and its appointed photographers/videographers may film, photograph or record the event for promotional, archival or commercial purposes. By attending any event, you consent to being incidentally captured in such official recordings and to their use in KCC’s marketing and communications.

11. Intellectual Property

11.1 All intellectual property associated with any KCC event – including but not limited to the event name, logo, branding, session content, presentations, and materials provided to attendees – remains the property of KCC or its licensors.

11.2 Attendees may not reproduce, distribute, publicly display, or create derivative works from any event material or content without prior written permission from KCC or the relevant rights holder.

11.3 Speaker presentations, slides and session recordings (where made available) are provided for personal reference only, and may not be used for commercial purposes without separate written consent.

12. In-Person Events Additional Terms

12.1 By attending any KCC event, you acknowledge that you may be photographed, filmed or recorded by KCC or its appointed representatives as part of Authorised Recording (see Section 10), and you consent to the use of your image, likeness, and voice in resulting materials for promotional, archival, editorial or commercial purposes without compensation.

12.2 If you do not wish to be included in official photography or filming, please notify KCC or event staff in advance, or upon arrival at the Information Desk, so reasonable steps can be taken to accommodate your request.  KCC cannot guarantee exclusion from wide shots, crowd shots, or incidental capture.

12.3 Any content attendees themselves share publicly featuring the event (e.g. social media posts) may be reshared or repurposed by KCC for promotional purposes, with attribution where reasonably practicable, unless the attendee objects in writing.

12.4 Visual recordings may be included as part of recordings of KCC talks available for sale to members of the public and available on the KCC App. These audio and visual source recordings will be kept by KCC and accessed by KCC staff and other authorised KCC personnel.

You agree to accept these terms and conditions when you register for any KCC event.

13. Online Events Additional Terms

13.1 The online or livestream event, including any associated interaction, chat or engagement within the stream feed, will be recorded in full by KCC. KCC reserves the right to use this material in part, or in full, for promotional, archival, editorial or commercial purposes.

13.2 Visual recordings may be included as part of recordings of KCC talks available for sale to members of the public and available on the KCC App. These audio and visual source recordings will be kept by KCC and accessed by KCC staff and other authorised KCC personnel.
