1. KCC Event Terms and Conditions

For the purposes of these terms and conditions, “Attendees” refers to both in-person attendees and online viewers of an event.

Please read these Terms and Conditions carefully before purchasing a ticket or booking event accommodation at StayKCC. By purchasing tickets or accommodation for KCC events, you agree to be bound by these Terms and Conditions.

1.1 Terms of Attendance

All Attendees of any KCC event must be in possession of a paid ticket to the event they are attending. Any host or group ticketholders of the event agree to ensure that each member of their group in attendance, whether in-person or online, is also in possession of their own paid ticket to the event.

All Attendees agree that their ticket will not be shared for usage with any other person. Ticket transfers may be possible if requested with the KCC office prior to the event.

All Attendees agree that they will not record, reproduce or redistribute the event or any portion of it, in any format, for internal or external use.

All Attendees (or parents and legal guardians of Attendees under the age of 18) understand that there will be partner organisations exhibiting at the event, and that they may receive marketing materials from these organisations when visiting their display stalls whilst at the event.

1.2 General Cancellation Policy – Tickets

By purchasing a ticket to any KCC event, Attendees understand and agree to these cancellation policies.

All KCC livestream and online events are non-refundable due to their digital format. Please note that we cannot be responsible for any difficulties accessing the event due to your connection or other device issues.

All cancellations for KCC in-person events are non-refundable after the event cancellation cut-off date. Any cancellation requests received prior to or on the cancellation cut-off date will be granted a choice of a 50% refund issued, or (where available) a transfer to a livestream ticket for the same event. Please refer to the specific cancellation policy for each event for cancellation cut-off dates.

Ticket transfers to other people for in-person events can be arranged if you request this to the KCC office via email prior to the commencement of the event.

1.3 General Cancellation Policy – KCC Event Accommodation

By booking accommodation at StayKCC for a KCC event, Attendees understand and agree to these cancellation policies.

All cancellations for KCC event accommodation are non-refundable after the event cancellation cut-off date. Any cancellations requests received prior to or on the cancellation cut-off date will be provided a refund according to the below general schedule.  Some events may have different schedules; please refer to the specific notice dates for each specific event as this will take precedence over the below.

Accommodation Cancellation Notice Received:

More than 16 weeks from event commencement: 90% refund
Between 12 – 16 weeks from event commencement: 70% refund
Between 6 – 12 weeks from event commencement: 50% refund
Less than 6 weeks from event commencement (cancellation cut-off date): None

Please refer to the specific cancellation policy for each event for individual cancellation cut-off dates. Accommodation transfers to other people can be arranged if you request this to the KCC office in writing via email prior to the commencement of the event.

1.4 Ticket and Accommodation Transfers

Tickets and accommodation booked for KCC events may be transferred to other people, if notification is received in writing via email prior to the commencement of the event.

Where there are multiple instances of the same event (e.g. KYCK, BASECAMP) on different dates, tickets and accommodation bookings may be transferred to a different date, pending availability of spaces. Any date transfer requests must be received by the KCC office in writing via email prior to the cancellation cut-off date for the event.

If you attend the event and present a ticket to the wrong event (e.g. a ticket to the same event but for a different date or an online ticket instead of in-person), unfortunately we are unable to grant you attendance and a new ticket will need to be purchased.

1.5 Event Information and Notifications

The contact information that you provide KCC on your ticket or accommodation booking will be used to communicate any important event information, changes or updates. These communications may at times have time-sensitive information or action required on your part. It is your responsibility to keep your details up-to-date with KCC so that any important communication regarding the event can be reasonably made with you.  KCC cannot bear responsibility for missed communications and any subsequent consequences, due to incorrect contact details.

The KCC office may also be in contact with you to confirm important details for your ticket or accommodation bookings, such as group member details or dietary requirements. It is your responsibility to provide these details by the requested dates so that the event or accommodation site may be suitably prepared for. We cannot guarantee we will be able to cater for requirements that we have not had notification about, or where notification has come later than the requested date.

1.6 Online Events Additional Terms

The online or livestream event, including any associated interaction, chat or engagement within the stream feed, will be recorded in full by KCC. Katoomba Christian Convention Ltd reserves the right to use this material in part, or in full, for promotional, editorial and contextual purposes. Visual recordings may be included as part of recordings of KCC talks available for sale to members of the public and available on the KCC App. These audio and visual source recordings will be kept by KCC and accessed by KCC staff and other authorised KCC personnel.

You agree to accept these terms and conditions when you register for this event.

1.7 In-Person Events Additional Terms

The event will be captured in photograph, video and audio by authorised KCC personnel.  Katoomba Christian Convention Ltd reserves the right to use this material in part, or in full, for promotional, editorial and contextual purposes. Visual recordings may be included as part of recordings of KCC talks available for sale to members of the public and available on the KCC App. These audio and visual source recordings will be kept by KCC and accessed by KCC staff and other authorised KCC personnel.

You agree to accept these terms and conditions when you register for this event.

1.8 COVID-19 and Cancellations

KCC keeps up-to-date with any requirements and restrictions relating to COVID-19, in order to keep our event attendees, volunteers, suppliers and staff safe at all times.

With the impact that COVID-19 has had, there will be uncertainties when planning (or planning to attend) any event.  By purchasing a ticket to any KCC event, Attendees understand and agree to the below provisions.

1.8.1 If KCC cannot run an event in-person due to changes in government restrictions, lockdowns or capacity limits:

  • The event will still continue to run in a livestream format and all in-person ticketholders will be provided with a full livestream event ticket to enjoy the event online as a COVID-safe alternative.
  • (If it is no longer possible to host guests at StayKCC) KCC will provide a full credit for any accommodation booked at StayKCC for the event, and priority accommodation booking for the next instance of the event.
  • (If it is still possible to host guests at StayKCC) The relevant event accommodation cancellation terms (under 1.3) will apply.
  • Where a suitable livestream event is not available (e.g. for KEC kids programs), KCC will provide you with an appropriate credit for any unavailable portion.

1.8.2 If the event is going ahead in-person and you notify us in writing via email prior to the commencement of the event about a change in mind about your booking or inability to attend due to personal circumstances, changes in schedule, or government-imposed travel restrictions:

  • The general event ticket cancellation terms (under 1.2) will apply.
  • (For event accommodation bookings) The general event accommodation cancellation terms (under 1.3) will apply.

1.8.3 If you cannot attend in-person anymore because you have tested positive to COVID, have COVID symptoms and/or are waiting for test results or isolating, and you have notified us in writing via email prior to the commencement of the event:

  • KCC will provide you with access to the full livestream event to join from home (any physical/posted online viewer packs will not be included), or
  • The general event cancellation terms (under 1.2) will apply.
  • (For event accommodation bookings) The general event accommodation cancellation terms (under 1.3) will apply. If you or someone in your immediate household has tested positive to COVID-19 and you cannot attend due to the event falling within your 5-day isolation period, a refund of up to 50% may be provided on a case-by-case basis. This will depend on when written notification to the KCC office was made and with the provision that evidence of a positive COVID test result can be produced.

We thank you in advance for your flexibility and understanding about the necessity of these cancellation policies. As a small not-for-profit ministry with limited financial reserves, KCC needs to be able to fully cover all the upfront expenses we incur when planning our conventions. These policies allow us to do that and so provide for the longevity of the KCC ministry.
